ERASMUS Consortia Placement grants: CALL REOPENED
The call has been reopened for 43 Student Mobility For Placement grants funded by the Erasmus Consortia Placement - "Talent at Work".
The new deadline for the submission is: March 7, 2011
Erasmus Student mobility for placement programme enables students at institutions of higher education to spend a placement period between 3 months and 12 months in an enterprise or organizsation in another participating country.

1 - Erasmus Student Mobility Call

What and where?

Mobility grants are available to cover Periods Abroad into European companies, research centers and universities. The grants are funded by the Erasmus Program - Consortia Placement, Project "Consorzio UJ - Talent at work".

Who can benefit?

All IMT Ph.D. Students eligible for the IMT Period Abroad, the students of Scuola Superiore Sant'Anna and Scuola Normale Superiore .

Important NOTE:

  • Ph.D. Students who have already started a Period Abroad are allowed to participate.
  • the mobility grants can be supplied only after a valid inter−institutional agreement has been signed by the hosting institution, as defined by the Erasmus Programme.

Period of validity

Beginning of the period abroad: from June 1, 2011 to May 31, 2012
End of the period abroad: strictly until October 31, 2012

Total Available Grants

For IMT Institute of Advanced Studies, Lucca: 83 monthly grants.
For Scuola Superiore Sant'Anna: 84 monthly grants;
For Scuola Normale Superiore: 60 monthly grants.

Duration of Period Abroad

Min: 3 months
Max: 12 months

Contribution

The monthly amount of the grant is € 500,00.
Exceptions are: mobility to Bulgaria (€448,00 /month), Lithuania (€486,00 /month), Turkey (€499,00/month) and Romania (€480,00/month), since the existing budget limits are lower for these countries.

Calculator for fractions

If the Period Abroad (beyond the minimum 3 months) does not correspond to a whole number of monthly grants, the following rule will apply:

Example of reimbursement:
3 months and 14 days = 3 monthly grants
3 months and 15 days = 4 monthly grants

Can I request an extension after the Period Abroad has already begun?

Yes, it is possible, as long as there is continuity between the authorized period abroad and the requested extension. The extension is subject to availability of residual grants and it can be requested using the same procedure as for the Period Abroad. In any case, the entire period abroad, including the extension, shall not extend beyond the deadline of October 31, 2012.

Is it possible to carry out the Period Abroad in more than one country?

It is possible to carry out an individual Period Abroad in more than one country, respecting the minimum period of 3 months of Period Abroad in each hosting institution.

I have already started an IMT Period Abroad, can I apply for the mobility grant?

Yes, you can. Students who have already applied for and/or started a SRPA can apply to this program.

Is my scholarship compatible with the mobility grant?

Yes, it is. Scholarships will be regularly increased by 50% plus the mobility grants. However, please note that priority will be given to students who are not scholarship recipients.

Selection Criteria

Eligible candidates will be selected according to the following criteria:

  • consistency of the Period Abroad with individual educational path and research project;
  • acceptance of the Scientific Board.

Preference will be given to

  • students who have not already benefited from a scholarship;
  • students who are closer to the end of their Ph.D. studies,

Application

The application must be presented to the IMT PhD Office, Mobility, using the Mobility Application Form (see attachments) before the deadline; the form and the enclosed documents can be delivered by hand or by fax, or by email (PDF format with original signature).

Selected Candidates: what to do now?

If you are on the list of the selected candidates, you must hand in your acceptance to the Ph.d. Office within the deadline, using the acceptance form [PDF, 34kb].

Steps

After your acceptance you will take care of the following:
  1. Before your departure: You will need mustto sign the Placement Contract and the Training Agreement. If your activity has already started, you will have to provide these documents immediately after the publication of the rankings (*);
  2. During your Period Abroad: You need toneed to obtain a signature and seal from your host institution on Part 1 of the Transcript Of Work and the Training Agreement. Part 1 of the Transcript of Work should be sent by fax to (+39) 0583 4326 565 by the end of the first week of the Period Abroad;
  3. At the end of your Period Abroad: You need to obtain signature and seal on Parts 2 and 3 of the Transcript of Work, and a Certificate of Activity, issued by your hosting institution;
  4. At your return: within 30 days of your return and, in case, absolutely before October 4, 2011 you will need to come to the mobility office with the following documents:
    • The original signed and sealed version of the Training Agreement;
    • The Transcript of Work complete;
    • The Final Report;
    • The Certificate of Activity from your hosting institution, sealed and signed.

Document Guidelines

After your acceptance you will be provided with:
  • A Placement Agreement: an agreement between IMT and you that will be signed before your departure (*);
  • A Training Agreement regarding your specific programme for the placement period, plus a Quality Commitment setting out the right and commitments of the parties (*);
  • A Transcript of Work that will certify your placement period. The hosting institution shall give its full recognition of your period spent abroad, including the following information:
    • the starting date (to be provided within one week after the beginning of the Period Abroad) (*);
    • the end dates of the placement period (to be provided at the end of the period);
    • the results accomplished (to be provided at the end of the period).
  • A Final Report that you will bring back at the end of the period.
  • The Erasmus student charter is the document that sets out each student’s rights and obligations with respect to the period abroad.

(*) Special Cases

My period abroad has already started. What should I do?
If your activity abroad has already started, you will have to provide to the Ph.d. Office / Mobility:
  • the Acceptance Form
AND the following documents:
  • Placement Contract
  • Training Agreement
  • Part I of the Transcript of Work
All the documents must be se by fax to (+39) 0583 4326 565 within the deadline for acceptance (November 18, 2010).

Please note that they are very simple; take care to fill them out correctly with all the signatures and stamps. Also remember that you must keep the original version of the documents and bring it back at the end of your period abroad.
My period abroad is longer than 6 months, what happens?
The first six months of your stay will be funded. Subject to the availability of residual funds, the remaining period will also be funded for maximum period of up to 12 months, in total.

3 - Payments

How do I receive my grant?
Each grant will be allocated in two parts: the first 80% will be paid within 45 days from the agreement date; the remaining 20% will be paid at the end of the period abroad. You can present your request of payment using the "Erasmus Grant Request".

If you are a scholarship holder, please indicate the same bank account that you previously provided to the IMT.
Please note that allocation of the grants is subject to the endorsement of the Training Agreement by the hosting institution.
